When is Edmentum’s Launch Conference taking place?
Monday, February 19 – Thursday, February 22.
Where will Edmentum’s Launch Conference take place?
Launch will take place at the Conrad Hotel at Resorts World Las Vegas. All meetings and events will be onsite.
How do I get there (travel logistics)?
We have arranged for group flights from the UK. If you are traveling from the US, you will need to book your flight to Las Vegas using Concur. If you are traveling from elsewhere, please email [email protected] with your destination and arrival city for additional support.
Using Concur, please purchase a coach, round-trip ticket within Edmentum’s travel policy.
We will provide shuttle transportation from the Harry Reid Airport in Las Vegas to Resorts World on Monday and will get you back to the airport on Thursday. Visit our Transportation page for the details.
Launch requires travel on President’s Day. Is that a staff holiday?
No, President’s Day is not a staff holiday for Edmentors.
Will I have to share a hotel room with a colleague?
No, everyone will have their own hotel room!
I won’t be able to travel to the meeting. Will there be a virtual attendance option?
Launch 2024 will be an in-person event for all full-time Edmentors who are not teachers. We are not planning to offer hybrid sessions; instead, only keynote sessions will be recorded to view following the event. If you are unable to attend, please speak with your leader about potential accommodation for you to attend in person. If no accommodation can be made, contact your HR Business Partner and provide a written request for an exemption with a detailed reason and any accommodation discussed with leadership. HRBP contacts are Danielle O’Connell-Lang (CTO, CFO, CMO, CSO, CPCO), Rachael Fowler (CPO, Instructional Services), and Quinn Millar (COO – not Instructional Services).
I will be on leave during Edmentum’s Launch Conference; do I need to attend?
If you are on leave, you will not be able to attend this year.
If I need to arrive early/stay late to avoid excessive travel time, will Edmentum pay for that?
If your manager and ELT member approve you arriving early/staying late, your additional hotel room, meals and travel to and from the airport will be reimbursed by Edmentum under the conditions of the Travel Policy. Please refer to Edmentum’s Global Travel Policy for additional information. If you are taking one of the group flights from the UK and arriving on February 18, your stay at Conrad Resorts World has already been extended.
Am I able to travel outside the designated hours to avoid multiple connections and/or excessive travel times?
We’ve had a few employees ask about travel outside of the designated hours, due to excessive travel times and multiple connections. Please use the template below to outline the differences and discuss with your manager.

Once you and your manager have reviewed, you will need leader and ELT approval before booking your flight.
What if I find a flight outside of Concur that is less expensive?
We book travel through Concur for a variety of reasons regardless of cost. These include:
- Duty of Care (DOC) – Edmentum is responsible for our people’s health, safety and well-being while traveling for corporate sponsored events
- Travel Manifests – So we can find you if something happens and you aren’t in the expected location. This aligns with DOC.
- Reporting – This allows us to track costs, identify trends, provide a more complete picture of spending, allowing us to better plan for future needs.
It is also important to note that search results are based on your selected criteria and other factors including company policies. Fare, schedule or availability information may not be complete or in neutral order.
Acendas can and will help find additional flights if needed such as:
- If you see the exact same flight in Concur for a lower cost elsewhere
- If you want to avoid multiple flights (i.e., 3 legs) to get to Vegas (2 flights would be considered typical as non-stop flights might be harder to find)

What if I receive an error in Concur when booking my travel?
If you get a “Sabre Profile Error” or a screen that says “Sorry, something went wrong,” call or email Acendas Travel Support (800-722-6602; [email protected]). Acendas should be able to solve most issues. Often times, the issue may be due to not using the website for a while and your profile needs to be refreshed. If problems persist, contact Concur Support at 866-793-4040.
What should I do about travel to/from my home and the airport?
Please select the most cost-effective option when planning your travel to and from the airport. Should you choose to extend your stay in Las Vegas, keep in mind that any parking costs beyond Monday -Thursday are a personal expense and will not be reimbursed by Edmentum. Our T&E guidelines require that Edmentors select off-site, long-term parking rather than directly at the airport.
What if I want to drive to Edmentum Launch?
Choosing to drive to Launch 2024 will require your manager’s approval. Edmentum policy states that employees may use their personal car as an alternative for air travel only when it is more economical or if other transportation modes are not available. On long-distance trips, (i.e., more than 150 miles), car rental should be considered as the least costly alternative. Please see Edmentum’s full travel policy for information on renting a car using Concur. Self-parking at Resorts World is $10 per entry.
I’d like to extend my trip to Las Vegas. Is that possible?
Absolutely. We have arranged for the hotel to honor the group rate of $185/night plus tax and resort fee for three days prior to and following the meeting. Please make your pre- or post-event reservation directly with the Conrad Hotel, subject to availability.
If I choose to extend my stay at Conrad Resorts World for personal time, what should I do?
Use the link on the hotel page to book your additional night(s) only. You will receive a confirmation number. Prior to Launch, you will receive the confirmation number for your Edmentum-paid stay. Once you have both, you may call the hotel and ask them to link the reservations for you. You can also request this at check-in; it typically is not a problem.
I have a request for my hotel room (i.e., near/far from elevator, floor request, etc.)
While we will do our best to accommodate requests from the attendee survey, rooms are assigned at check-in depending on what the hotel has available. You may ask the front desk if there is another room that meets your preferences. Note that the Conrad Hotel inside Resorts World is non-smoking, pets are not allowed, and all rooms have a small refrigerator for medicine or other needs.
Can I have early check-in/late check-out?
We will work with the hotel to accommodate as many requests as possible, but these are not guaranteed. However, you are welcome to drop your bag at the front desk of Conrad Resorts World and explore the surrounding area until check-in at 4 p.m.
Will there be meeting accommodation for those with disabilities?
We are committed to accommodating all attendees with disabilities. If you have circumstances that require special accommodations, please contact your HR Business Partner.
How do I share my eating restrictions? Will there be accommodations?
You will receive a survey that includes group flight options and dietary preferences. You’ll have a chance to note your preferences on the survey and we’ll be sure to accommodate.
How should I dress?
Generally speaking, keep it smart casual (jeans are just fine!) and remember to pack comfortable shoes. Awards night is your opportunity to dress up a bit – attire is generally a mix of business formal and cocktail.
Will there be time for recreational activities?
We have some recreational time set aside as part of the meeting agenda. If you would like to enjoy additional free time, we recommend that you book your own flight and arrive for the weekend prior to the meeting. We have arranged for the hotel to honor the group rate of $185/night plus tax and resort fee for three days prior to and following the meeting.
I’m unable to cover business expenses using my personal cards. Who can help me?
We recognize that everyone’s personal financial situation is different. Please contact your HRBP if you need accommodation or guidance on handling expenses related to Launch travel.
Can my family or another guest stay with me in my hotel room?
Yes. However, guests may not participate in any official Edmentum activities or events. Additionally, please be aware that no one under 21 years of age is allowed to possess or consume alcoholic beverages, play any gambling game or slot machine or loiter in any gaming area. It is unlawful to aide, assist or permit a person under the age of 21 years to participate in these activities – doing so puts Edmentum and the rest of the Launch Conference at risk.
How do I sign up for a session using the Whova Event App?
To register, simply click on the + icon next to the session name in the App.
Is there a way for me to review sessions by my organization?
Yes, if you are in the Whova Event App, click “Tracks” to filter sessions by organization.
If I am a non-exempt/hourly employee, how do I document my time to attend Launch Conference?
Details will be shared with non-exempt/hourly employees prior to Launch.
What is considered worktime or working hours that should be tracked during the Launch conference?
If I am a non-exempt or hourly employee, will I qualify for overtime pay during Launch?
If you work over 40 hours during your standard workweek, you will be compensated for overtime. To help us manage overtime, please obtain your manager’s permission before working any overtime as much as practical. Please refer to the section on “Time-Keeping for Non-Exempt Employees” in the Edmentum Global Employee Handbook.
How should my working hours be tracked during the Launch conference?
Working hours should be tracked and reported in the same way in which they are usually tracked and reported, through UKG for manager review.
About Expenses
All hotel costs, including room, tax and any applicable resort fees, will be billed to a master account. You will be asked to provide a credit card for incidentals upon check-in. Any incidental charges are your responsibility; they will not be covered through your expense report. All expenses are subject to Edmentum’s Global Travel & Expense Policy.
Professionalism and Alcohol Policy
We will be serving alcohol at some of our events, and we ask that you drink responsibly. It goes without saying, but Edmentum’s Launch Conference is still a work function, and you will be expected to act professionally, just as you would in our offices.
You are expected to attend all scheduled events, including presentation sessions. In addition, we ask that no one depart the hotel until the meeting is officially over on Thursday morning. If you have any questions, please contact Edmentum’s HR Talent Team.
Additional Information
- Company policies including harassment, drug and alcohol, dress code, etc. are still applicable. If you are unfamiliar with these policies, please review Edmentum’s Global Employee Handbook which can be located on the UltiPro homepage.
- Employees are expected to be present and engaged at the start of the conference each day.
- Please remember to bring your laptop and power cord to the conference and breakout sessions.
- Guests who are traveling with Edmentum employees will not be permitted to attend any of the company activities or events.
- Meals, snacks, beverages and basic internet access are included for the duration of the conference at Resorts World Las Vegas with the exception of Tuesday evening’s dinner. This time was left open to allow Edmentors time to connect in smaller groups or teams. Though the Las Vegas Strip has a variety of food options across price points, please do your best to adhere to Edmentum’s daily meal expense policy. Teams are encouraged to dine with one another and make their own reservations at Resorts World or at another nearby hotel.
- Additional expenses such as alcohol, meals and upgraded internet service will not be approved for reimbursement.
- Reimbursable expenses for the week include:

- Transportation to/from your home airport OR home airport parking during conference dates only. If you plan on extending your stay for personal reasons, the additional days must be deducted from your parking expense.
- Travel day meals not provided by Edmentum on conference arrival and departure dates only.
- Standard baggage fees per the Edmentum T&E Policy.
